Printer Troubleshooting
Printer Showing Offline: Causes and Fixes
“Offline” is a status your computer assigns, not something the printer announces about itself. It means the computer tried to reach the printer and got no answer it recognized. The printer may be switched on and perfectly healthy, yet still unreachable because it fell asleep, dropped off Wi-Fi, picked up a new network address, or because the computer is talking to the wrong copy of it.
This guide works from the printer outward: first the device itself, then the connection between the two, then the computer’s settings. Most offline problems are found in the first two stages.
Quick answer
- Wake the printer and clear any message on its screen.
- Confirm it is on the same network as your computer (or that the USB cable is seated).
- Restart the printer, then the computer.
- Clear the print queue and make sure “Use Printer Offline” is not ticked (Windows).
- Delete duplicate printer entries and select the one that works.
- If it is still offline, remove the printer and add it again.
Symptoms and possible causes
This guide applies if:
- The printer appears as “Offline” in Printers & scanners or in the print dialog.
- Jobs sit in the queue with a status such as “Offline” or “Printer not connected.”
- The printer printed fine yesterday and nothing obvious has changed.
- You see two or more entries for the same printer, and only one of them works.
| Possible cause | How to recognize it | Covered in |
|---|---|---|
| Printer asleep, powered off or showing an error | Dark screen, blinking light, message on the control panel | Step 1 |
| Printer has dropped off the Wi-Fi network | Wireless light off or blinking; printer missing from network list | Step 2 |
| Printer received a new IP address | Went offline after a router restart; other devices work | Step 2 |
| Stuck job blocking the queue | One job shows “Error” and others wait behind it | Step 3 |
| “Use Printer Offline” enabled (Windows) | Queue window title shows “Use Printer Offline” | Step 3 |
| Duplicate printer entries | Same printer listed twice, e.g. with “(Copy 1)” after the name | Step 4 |
| Broken printer setup on the computer | Everything else checks out but the status never changes | Step 4 |
Safety precautions
- When restarting, use the printer’s power button rather than pulling the plug mid-job, and wait for it to shut down fully.
- Be wary of websites or callers offering to “fix your offline printer” in exchange for remote access to your computer or payment. Printer manufacturers do not cold-call customers, and genuine help is available on the manufacturer’s official website.
1 Start with the printer itself
A computer cannot see a printer that is in deep sleep or stuck on an error screen. Rule these out before touching settings.
Wake it up
Press a button or tap the screen. Some printers drop their network connection in deep sleep, and the computer marks them offline until they wake.
Read the control panel
Look for any message, such as low paper, an open cover or an ink warning. A printer waiting for you to acknowledge something may stop answering print requests.
Power cycle it
Turn the printer off with its power button, wait about 30 seconds, and turn it back on. Give it a minute or two to reconnect before checking the status again.
Check the cable, if you use one
For USB printers, reseat both ends of the cable and try a different port, ideally one directly on the computer. For wired network printers, check that the Ethernet cable is seated and the port light is lit.
2 Confirm the printer is still on your network
For wireless and network printers, this is where most offline problems are found.
Check the printer’s wireless status
Most network printers have a wireless light or status screen, and many can print a network configuration page from the control panel (the menu name varies by model). That page shows whether the printer is connected, to which network, and its current IP address.
Compare network names
Make sure the network name on the printer matches the one your computer uses. Separate 2.4 GHz and 5 GHz networks, guest networks and mesh systems can quietly split devices apart.
Restart the router if several devices misbehave
If other devices are also struggling, restart the router, wait for it to come back, then restart the printer so it rejoins cleanly.
Watch for an address change
Routers hand out IP addresses that can change after a restart or power cut. If your computer was set up to reach the printer at a fixed address and the printer has moved, the computer reports it offline even though it is on the network. Re-adding the printer (Step 4) usually picks up the new address. For a longer-term fix, see printer network settings, which covers address reservations.
If the printer will not stay connected to Wi-Fi at all, that is a connection problem rather than an offline status problem. Our guide to wireless printer connection problems goes deeper.
3 Clear the queue and check offline settings
Sometimes the printer is reachable, but a jammed queue or a setting makes the computer give up on it.
Open the print queue
On Windows 11, go to Settings > Bluetooth & devices > Printers & scanners, select the printer and choose Open print queue (Windows 10: Settings > Devices > Printers & scanners). On macOS Ventura or later, open System Settings > Printers & Scanners, select the printer and click Printer Queue. On ChromeOS, open the Print Jobs app or check the printer notification.
Cancel stuck jobs
Cancel any job showing an error, then print something small. One failed job can hold up everything behind it.
Untick “Use Printer Offline” (Windows)
In the Windows queue window, open the Printer menu. If Use Printer Offline has a check mark next to it, click it to clear it. This setting tells Windows to hold jobs instead of sending them, and it can stay switched on after a connection hiccup.
Restart the computer
A restart resets the print system and often clears a stuck status.
If jobs reach the printer but nothing comes out, the issue is no longer “offline.” See printer not printing instead.
4 Remove duplicate copies and re-add the printer
When a printer is reinstalled or found again after an address change, the computer may create a second entry instead of updating the first. The old one stays offline, and if it is your default, every job goes to it.
Look for duplicates
In Printers & scanners, look for entries with the same model name, sometimes with “(Copy 1)” added. Print a test page from each to see which one responds.
Remove the ones that do not work
Select the offline duplicate and choose Remove (Windows), the minus button (macOS) or Remove from the printer’s menu (ChromeOS). Then set the working entry as your default if you want.
Re-add if nothing works
If every entry is offline but the printer is clearly on the network, remove them all, restart the computer and add the printer again. Our guide on how to add a printer to a computer walks through this on each system.
Use the manufacturer’s software if needed
Some printers work best with the manufacturer’s own driver or app. Get it only from the manufacturer’s official website or your device’s official app store, never from a pop-up or search ad.
Additional troubleshooting methods
Turn off VPNs while testing
A VPN can route your computer’s traffic away from the local network, hiding the printer. Disconnect it briefly to test; some VPNs offer a setting that allows local network access. Third-party security software can have a similar effect, so check it if the problem began after an install or update.
Try another device
Print from a phone or second computer on the same network. If that works, the problem is on the first computer; if nothing can reach the printer, focus on the printer and network.
Model and operating-system considerations
| If you use | What to know |
|---|---|
| Windows 11 / 10 | Windows may keep a stale entry after an address change and has the “Use Printer Offline” option in the queue window. Menu names vary by update. |
| macOS | Printers added with AirPrint usually follow the printer automatically when its address changes. Printers added by fixed IP address do not, so removing and re-adding is often the fix. |
| ChromeOS | ChromeOS finds most network printers automatically. If one stays offline, remove it under Settings > Advanced > Print and scan > Printers and add it again. |
| USB-connected printers | Offline usually points to the cable, port, hub or power, rather than the network. Try another cable and a port directly on the computer. |
Frequently asked questions
Why does my printer go offline every time it sleeps?
Some printers turn off their wireless radio in deeper sleep modes. Check the sleep settings on the control panel or the printer’s built-in web page; many models let you lengthen the delay. Option names vary by model.
My printer printed fine from my phone, but my laptop says it is offline. Why?
That tells you the printer and network are working. The problem is on the laptop: a stale or duplicate printer entry, a VPN, security software, or the laptop being on a different network or band. Start with Steps 3 and 4.
Should I give my printer a fixed IP address?
It can stop the address changes that make some computers lose track of a printer. The safest method is a DHCP reservation in your router settings, rather than typing a static address into the printer, because it avoids address conflicts.
Does “offline” mean my printer is broken?
Rarely. Offline is a communication status reported by the computer. If the printer powers on, shows no error and prints its own configuration page, the hardware is very likely fine.
