Printer Troubleshooting

Printer Not Printing: How to Find Where the Job Gets Lost

This is one of the most frustrating printer problems because nothing seems wrong. The printer is on, the computer can see it, you click Print, and then silence. Somewhere between your document and the paper tray, the job is being held, dropped or misdirected.

The fastest way through is to split the problem in half. Can the printer print on its own, without the computer? If yes, the fault is on the computer’s side. If no, the printer needs attention. This guide starts with that test and then follows the job step by step.

Quick answer

  1. Print a configuration or test page from the printer’s own control panel.
  2. If that works, check you are sending to the right printer and the queue is not paused.
  3. Cancel stuck jobs and restart the print spooler or the computer.
  4. Check paper, ink or toner warnings.
  5. Try printing from a different app to rule out the document.

Symptoms and possible causes

This guide applies if:

  • The printer shows as ready or idle, but jobs never come out.
  • Jobs appear in the queue and then vanish without printing.
  • Jobs stay in the queue with a status like “Printing” or “Spooling” indefinitely.
  • One app will not print, but others print normally.

1 Test the printer on its own

This single test tells you which half of the system to troubleshoot, so do it first.

  1. Print a page from the control panel

Most printers can print a configuration, status or test page from their own menus, usually under Settings, Reports, Tools or Setup. The exact name varies by model, so check your manual if needed. Some models without a screen use a button combination described in the manual.

  2. If the page prints

The printer, paper feed and supplies are working. The problem lies in the computer, the connection, or the app. Skip to Step 2.

  3. If nothing prints

Read the control panel. Load paper, close any open covers and replace empty cartridges if prompted. If the printer is frozen or will not respond to buttons, see printer not responding.

  4. If a page comes out blank or jammed

The job is reaching the printer, but output fails. See printer printing blank pages or printer paper jam.

2 Check where the job is going

A surprising number of “not printing” cases are jobs quietly going somewhere else.

  1. Look at the printer name in the print dialog

Before clicking Print, check the selected printer. It may be set to a PDF or document writer, a fax driver, an old printer, or a duplicate copy of your printer that no longer connects.

  2. Open the queue

Windows 11: Settings > Bluetooth & devices > Printers & scanners, select the printer, then Open print queue (Windows 10: Settings > Devices > Printers & scanners). macOS Ventura or later: System Settings > Printers & Scanners > select the printer > Printer Queue. ChromeOS: the Print Jobs app.

  3. Resume a paused queue

If the queue or printer shows “Paused,” resume it. On a Mac, click the resume button in the queue window. On Windows, check the Printer menu for Pause Printing and clear it.

  4. Check the status column

If the status says “Offline,” the computer cannot reach the printer; follow printer offline instead. If the first job shows “Error,” cancel it and try again.

3 Clear stuck jobs and reset the print service

Your computer hands print jobs to a background service (called the Print Spooler on Windows) that passes them to the printer. If it hangs, jobs pile up and will not cancel.

  1. Cancel everything in the queue

Select all jobs and cancel them. If a job says “Deleting” and never disappears, the service is stuck.

  2. Restart the computer

This resets the print system on every operating system and is the safest first move.

  3. Restart the Print Spooler (Windows)

If restarting did not clear it, search for Services, open it, find Print Spooler, right-click it and choose Restart. Leave its startup type unchanged. Then check the queue again.

  4. Reset the printing system (macOS, last resort)

In Printers & Scanners, Control-click the printer list and choose Reset printing system. This removes every printer, so you will need to add yours again afterward.

4 Rule out the driver and the app

If the printer prints on its own, the queue is clear and jobs still fail, look at the software sending them.

  1. Try a different app

Print a short plain-text file from a basic text editor. If that prints, the problem is tied to the original app or document. Try saving the document as a PDF and printing the PDF.

  2. Check app-specific settings

Some apps have their own print settings: page ranges that exclude every page, a “print to file” checkbox, or a paper size the printer cannot supply. Browsers may also print only a selection. Reset these to defaults.

  3. Re-add the printer

Removing and re-adding the printer refreshes its driver connection. See add a printer to a computer for each system.

  4. Get the driver from an official source

If a manufacturer driver is needed, download it only from the manufacturer’s official website or your device’s official app store. Ignore pop-ups and search ads offering “printer drivers” or support, and never give remote access to anyone who contacts you unexpectedly.

Additional troubleshooting methods

Print a small, simple test

Large or image-heavy documents can take minutes to process, especially over Wi-Fi or on older printers. Try a one-page text document before assuming the printer is ignoring you.

Check secure or hold printing

Some office printers hold jobs until you enter a PIN at the control panel. If this feature is enabled in the driver, your job may be waiting at the printer.

Check printer memory or storage

A few printers report memory errors on very large jobs. Splitting the document or lowering image resolution can help; check your manual for model specifics.

Model and operating-system considerations

If you useWhat to know
Windows 11 / 10The Print Spooler service is the usual culprit when jobs refuse to cancel. Windows Update can also replace a printer driver; re-adding the printer is the simplest reset.
macOSMost printers use AirPrint and need no extra driver. If you installed manufacturer software, try removing the printer and adding it as an AirPrint device.
ChromeOSChromeOS uses built-in drivers. If one printer fails, remove and re-add it; app-level settings are controlled in the Chrome print dialog.
Laser printersA cold laser printer may take a short time to warm up before the first page. This is normal and not a failure.
Inkjet printersSome inkjets refuse to print when any one cartridge is empty, even for black-only documents. Behavior varies by model.

Frequently asked questions

My print job disappears from the queue but nothing prints. Where did it go?

It usually means the computer handed the job to something: possibly the wrong printer, a PDF writer, or a printer that accepted the data and then discarded it because of a paper-size or format problem. Check the selected printer first, then the printer’s control panel for messages.

Is it safe to restart the Print Spooler?

Yes. Restarting the service is routine and does not delete printers or drivers. Avoid disabling it or changing its startup type, because Windows needs it running to print.

Why will my printer copy but not print from the computer?

Copying uses only the printer’s own hardware, so a working copy proves the print engine is fine. The fault is in the connection, the queue or the driver on the computer. Work through Steps 2 to 4.

Only one website will not print. What can I do?

Use the browser’s print preview to check what it will send. Try a different browser, or save the page as a PDF and print the PDF. Some sites block or restyle printing deliberately.
